Homeless Management Information Systems

HMIS is a way for HUD to collect data, and develop strategies to reduce homelessness. This allows agencies to guide communities in a certain direction that produces results.

Octopia™ collects data required for HMIS reporting to various state agencies in several ways: We generate APR (Annual Progress Report) according to HUD 40118 specifications. This report tracks people in a program over a specified date range and whether they were in the program before the reporting period and if they exited during the program year. Characteristics of these clients are reported as per the HUD 40118 specifications. We generate different versions of the HUD XML, for reporting to state agencies using suitable HPRP guideline.

Octopia offers Quarterly Performance Report (QPR) spreadsheets specified by HUD and is populated with data collected from our HMIS system. It is aggregated data by type of services received, and whether the clients are homeless prevention or homeless assistance; it also reports dollars expended. In addition, there are detailed reports that are provided in HTML format for displaying data in a standard format.

We also collect data for the ICHH program, and have plans to include this data in our XML upload to state agencies. We also provide an ability to print out the universal assessment document. Arizona matrix information is also collected on clients within Octopia.
